Personal Meeting Rooms are great for small informal meetings with staff and colleagues at UB. They are not good for larger more formal meetings, online class sessions or anytime you are meeting with someone outside the UB community. You should always schedule a meeting when the meeting is for a course, is a formal department meeting or if your meeting includes anyone from outside of UB.
Press the Esc key
Yes. For turning off chats and more, see Controlling and Disabling In-Meeting Chat
By default, the chat file will auto-save to the host’s computer. See Enabling meeting and webinar auto-saving chats.
When you attend a meeting and the host allows you to save the chat:
Open a breakout room and assign that student to the room and join them there. See How to manage breakout rooms in a meeting
Depending on the situation, you can also use All screens mode to see the desktop of every participant (except host/co-hosts) without them seeing the desktops of anyone else. See Using all screens mode in meetings.
Yes! Use either of these guides to learn how to grant control, and how to control the slides:
You can do this in two ways:
For the greatest certainty, require participants to login with their UB Zoom credentials to join the meeting. Under Security check the box Require authentication to join. With this setting enabled participants must sign into the Zoom desktop or mobile app before they can join your meeting and Zoom will know who they are. See Require authentication to join a Zoom meeting.
By default, participants in UB Zoom meetings are not allowed to rename themselves so if they sign in with UB credentials you can be reasonably confident that they are who they say they are. Double check the setting Allow participants to rename themselves in your Zoom web portal settings.
If you receive new chat messages while screen sharing, a red icon will appear next to Chat indicating the number of unread messages. Click Chat to open the chat window. A floating chat window will appear, which is not visible to other online meeting participants, but it may be visible to people in the classroom if you are teaching a hybrid class.
One person can schedule the meeting and add the others as alternate hosts.
It is possible for the person who scheduled that meeting to start and host a second meeting while an alternate host starts the shared meeting. See Hosting multiple meetings simultaneously
This requires an additional program to be installed on your device.
See Zoom for Outlook Add-in for use instructions.
Using the View menu you can manage how you see participants’ videos and screen sharing. See Adjusting your video layout during a meeting.
When you share your screen you can move the video panel and floating meeting controls out of your way or go to the More menu and choose Hide floating meeting controls and/or Hide video panel. Press Esc to see the controls again.
To facilitate screen sharing, open any programs, files, or websites you plan to share during your meeting. Close programs you won’t need to reduce distracting notifications, reduce the processing load on your computer, and make it easier to locate items you want to share.
Recordings in the cloud save to the host’s Zoom account and the host’s Meeting Recordings folder in Panopto (if they have signed into Panopto at least once).
Local computer recordings are saved on the computer used during the meeting.
By default, computer recordings are placed in these directories:
Yes, you can record without any participants. The recording will capture your audio and video, if on, and any screen sharing.
You will be emailed a link to your recording which you can then download and save to any location.
Note: Zoom cloud recordings are automatically saved to Panopto if you have activated your Panopto account by logging into Panopto’s web portal
Transcription cannot be started automatically, but the host or any participant can start a live transcription. See Viewing captions in a meeting or webinar.
Live transcripts can be saved by anyone in the meeting. There is no way to turn this feature off.
